Rates
All rates are in US dollars (USD) and include all taxes applicable as of October 1, 2010. Rates are based on current market value and exchange rates at the time of preparation of these tour programs and are subject to change with or without prior notification. All rates are confirmed after full payment.
Reservations
All travel arrangements and reservations should be made no later than 45 days prior to departure. Later bookings must be approved in advance. All departures are guaranteed after written confirmation from Key Tours.
Deposits and Final Payments
A deposit according to the following scale will apply. After the deposit is made, additional participants can be added only with the agreement of Key Tours and a deposit of $100 per person. The deposit forms part of your final payment, which is due 60 days before departure. If the balance is not received 60 days prior to departure, your booking is automatically canceled. Bookings made within 60 days of departure must be paid in full at the time of booking.
Travel Documents
Travel documents will be sent to you approximately 14 days prior to your departure. Late bookings and travel revisions can affect this time line. E-documents are free of charge.
Commissions and Overrides on Brochure Programs
Customized groups are quoted on a net basis.
Group Free Traveler Allowance
One free in DBL room for every 15 full paying participants (Turkey only Programs)
One free in DBL room for every 20 full paying participants (other destinations)
Free travelers are exclusive of add-on rates, and airport taxes and other taxes
Forms of Payment
We take all major credit cards for payments of $750 or more (except for tour programs quoted at net price which are payable only in check form) and checks which should be written to National City Bank / Key Tours Escrow Account.
Credit Card Payments
Credit card payments are subject to the following commission reductions:
Visa, MasterCard and Discover: 2%
American Express: 3%
Credit cards are accepted for group bookings only when the program is directly from our brochure and only for payments of $750 or more. There is a deduction from the commission (see above) and credit card agreements prohibit an increase in the price of services to compensate for this cost. For groups quoted at net, their gross rate will be charged to the client’s card and then credited to agency’s account minus 3%.
Rooming Lists and Space Reduction Deadline Requirements
You may cancel your group booking up to 90 days prior to departure, otherwise 80% of the travelers’ names are required at that time for booking
60 days prior to departure, 100% of the travelers’ names and final payment are required.
Tour Documents & Delivery
Visas and passports are the traveler’s responsibility. Normally, documents are delivered to the tour organizer 21 days prior to travel. If there are special needs in this area, please inform your Key Tours booking agent well in advance. The documents will include: a local contact at each destination and brief information about sites including a touring itinerary as well as vouchers where required for scheduled services.
Cancellations
Notice of cancellation must be made in writing directly to Key Tours. Up to 90 days prior to departure, there is an option to cancel up to 20% of the seats reserved with no penalty. If the amount canceled exceeds 20% of booked seats, there is a $25 USD plus airline fees penalty per reserved seat canceled. After that date, a $75 USD fee per reserved space will be charged for all cancellations. Additionally, the following scale of charges will apply when cancellation notice occurs within 60 days of tour departure.

In order to provide secure transmission of all users’ financial information our servers use encryption technology to protect all the data for each transaction.
Registration Requirements
Key Tours uses two types of online registrations:
1. User registration: used to browse destinations/services and to plan itineraries (optional)
2. Passenger registration: used to complete reservations (required)
1. User Registration:
The user registration option enables visitors to access tourist information and various planning features on the website. A user may want to complete our registration form and provide us with contact information such as first and last name, e-mail address and a personal password. This allows the member to retrieve any trip planning completed during a previous visit to the website as well as confirmation e-mails. Additional optional information includes: gender, zip code, travel expertise, preferred departure and arrival airport. This information is primarily used to assist members in making reservations quickly and more efficiently and it enables Key Tours International to notify members with updates regarding their favorite destinations. The Sign up Preferences section allows the member to subscribe to our newsletter, to receive special deals, notification of new services and/or money-saving offers via e-mail as well as the option to participate in our online community. However, users will always have the option to decline these e-mail messages. User registration is optional but encouraged so Key Tours can better customize the content of the website to meet your specific needs and improve our products.
2. Passenger Registration:
In order to complete a booking on the Key Tours website, we request the following personal information: passenger information (first and last name), delivery information (name, mailing address, day and alternate phone number, e-mail address) and credit card information (card type, number, expiration date, card holder’s name, billing address). This information is used for billing purposes, to fulfill your travel reservations (air, car, train and hotel reservations) and allows us to contact you for customer service if there should be difficulty with processing your reservation. In addition, your e-mail address enables us to send you an e-mail message confirming each reservation you request online.
Cookies
A cookie is a piece of data stored on the user’s hard drive containing information about the visitor. Keytours.com utilizes cookies. Usage of a cookie is in no way a means of collecting any personally identifiable information while on our website. Once the user closes their browser, the cookie simply terminates. For instance, by setting a cookie on our website, the user does not have to log in a password more than once, thereby saving time. If a user rejects the cookie, they will be able to use the information section and the planning feature but will have to register first whenever wishing to purchase. Cookies enable us to track and target the interests of our users to enhance the experience on our site.
Log Files & IP Addresses
We collect IP addresses only to obtain various types of statistics about our website usage such as the most frequently requested pages and paths followed as well as other system administration tasks. Log file information such as IP Addresses is not linked to personal information.
Sharing Your Information
When you reserve or purchase travel arrangements through Keytours.com, we provide some information about you (such as name) to the airline, car rental agency, train company, hotel or other suppliers involved to ensure the successful fulfillment of your vacation arrangements. We do not sell individual customer names or other private profile information to third parties. Occasionally, Keytours.com will hire a third party to act on our behalf for projects such as market research surveys and/or contest entry processing and will provide information to these third parties specifically for use in connection with these projects only. The information we provide to such third parties is protected by a confidentiality agreement and is to be used solely for completing a specific project. However the sharing of some personal information is necessary to provide travel arrangements, if the users feel uncomfortable and don’t want their information shared, then they should not book travel through our site.
Newsletters, Brochures and E-mails
Keytours.com’s newsletters, brochures, special offer e-mails and site and service update e-mails are optional benefits sent to interested members giving you the latest news about traveling to to our destinations. Your personal e-mail address is needed to subscribe to our newsletter. Special offer e-mails provide news about your favorite places or update you with information concerning the vacations and destinations for which you expressed interest. Sites and service update e-mails inform a user on new functionalities of the site. However, you may always decline to receive the newsletter and these e-mail messages by replying and typing “unsubscribe” in the subject line of the e-mail, or by e-mailing us at support@keytours.com. Opt out policy described below.
Opt-Out Policy
Keytours.com’s subscribers may opt-out of receiving future communications at any time. Our web site gives the following options for removing your information from our database and our mailing list:
1. You can reply to the e-mail and type “unsubscribe” in the subject line of the e-mail.
2. You can e-mail us at support@keytours.com
Subscribers may also correct or update information, previously provided, via the same channels.
Contests and Online Surveys Contests
From time-to-time Keytours.com will organize or sponsor contests to give members the opportunity to win great prizes including travel-related prizes. We might also request information from users via surveys. Participation in these contests is completely voluntary and users therefore have a choice whether or not to disclose this information. Information requested may include contact information (such as name and shipping address) and demographic information (such as zip code and age group). Contact information will be used to notify the winners and award prizes. Survey information will be used for purposes of monitoring and improving the use and satisfaction with the website. Our users are given the opportunity to ‘Opt Out’ of having their information used for purposes not directly related to our website at the point where we ask for the information.
Online Surveys
Keytours.com will conduct exit surveys with outside partners. These will be opt-in surveys and will not take place on our site. Information will include behavioral information (frequency, return & overall quality) and customer feedback (content, appearance, security). Participation in these contests is completely voluntary and users therefore have a choice whether or not to disclose this information. Security
This website takes every precaution to protect our users’ information. When users submit sensitive information via the website, their information is protected both online and off-line. Your credit card transaction will be authorized through a credit card processor. All information you provide to Keytours.com is transmitted using SSL (Secure Socket Layer) encryption. SSL is a proven coding system that lets your browser automatically encrypt and scramble data before you send it to us. While on a secure page, such as our order form, the lock icon on the bottom of web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked, as opposed to unlocked, or open, when you are just surfing. You may also double check if the address line shows “https:” to make sure that you are currently on a secure page. While we use software encryption to protect sensitive information online, we also do everything in our power to protect user-information offline. All of our user information, not just the sensitive information mentioned above, is restricted to our offices. Only employees who need the information to perform a specific job (for example, our billing clerk or a customer service representative) are granted access to personally identifiable information. Our employees must use password-protected screen-savers when they leave their desk. When they return, they must re-enter their password to re-gain access to your information. Furthermore, ALL employees are trained and up-to-date on our security and privacy practices. Any time new policies are added, our employees are notified and/or reminded of the importance we place on privacy, and what they can do to ensure our customers’ information is protected. Finally, the servers used to store personal identifiable information are stored in a secure environment, behind a locked enclosure. If a user’s personal identifiable information changes (such as zip code), if a user no longer desires Keytours.com services or if a user simply wishes to access their information, the Company will provide a way to access, correct, update or remove that user’s personal data. Notification of Changes
If we decide to change our Privacy Policy, we will post those changes on the website so our users are always aware of information we collect, how we use it, and under what circumstances, if any, we disclose it.
